Reverse that. Put the machine at the front, give it clear space on three sides, light it properly, and keep everything else quiet. A well-lit machine on a plain stall reads as confidence. A hidden machine behind a decorated wall reads as a company with nothing to show.

At most Indian fairs the affordable route is the organiser’s standard shell scheme — an octanorm frame, fascia name board, a couple of lights, and a plug point. Taken as delivered, it looks like every other stall on the row. Upgraded selectively, it can look close to custom for a fraction of the cost.

Getting a Heavy Exhibit onto a Small Stall
A machine on a modest stall raises the same technical questions as a machine on a large one, and they still have to be answered before you book.
Confirm the hall’s floor loading limit for your specific position, in kilograms per square metre. Check the access route — door heights, aisle widths, and turning space — not just the hall entrance. Agree your move-in slot early, because heavy exhibits are usually placed first, before anything is built around them.
Then keep it simple. Place the machine at floor level rather than on a plinth wherever possible: a raised platform adds structural cost, may need approval, and often makes the exhibit harder to demonstrate. Skip raised flooring for the same reason and run cabling in floor trunking instead.

Design It Once, Use It All Season
Indian manufacturers often exhibit at several domestic fairs a year, moving between Delhi, Mumbai, Bengaluru, and regional shows. That pattern is your biggest saving opportunity, and most companies miss it.
Build a small reusable kit instead of paying for a fresh stall each time. A modular frame, a set of standard-size graphic panels, your own lighting, and a flat-packable counter will travel by road between cities and rebuild at each fair. Keep the graphics separate from the structure so you can change the message without rebuilding anything.
Own the parts you use every time — lighting, counter, storage, display stands. Rent only what changes or is bulky to move. Over three or four fairs, a kit you own usually costs less than repeated rentals, and it looks consistent, which matters more than exhibitors expect.
Reading a Fabricator’s Quote Properly
Two quotes for the same stall can differ widely simply because of what each one leaves out. Before comparing prices, make sure both cover the same scope. Ask for these as separate line items:

What to Cut, and What Never to Cut
Cut decoration before you cut function. Fewer printed panels, a smaller structure, simpler counters, and no ceiling elements will all save money without harming how the stall performs.
Never cut lighting, never cut the space around your machine, and never cut the meeting area down to nothing. A stall with no seat is a stall where serious enquiries end in the aisle. And never cut so far that you arrive with an unfinished stall — an incomplete build on day one costs more in lost credibility than the saving was worth.
